Team and roles

The roles in a workspace, what each one can do, and how agents and buyers get access.

Everyone who signs in to bildflow has one role. The role decides which parts of the app they see and which actions they can take.

Staff roles

  • Owner — the person who created the workspace. Can do everything, including billing, privacy requests and deleting the workspace.
  • Admin — the same as the owner: settings, brand, billing, API keys, agents, privacy requests and erasure. Only deleting the workspace is owner-only.
  • Sales — works leads, buyers, bookings, messages, payments and tasks, can read the site diary, and receives notifications about new leads, messages and bookings. Cannot change company settings or the brand kit, manage agents or API keys, or handle privacy requests.
  • Construction — for the site team keeping projects up to date: milestones, construction updates, tasks, the site diary, media and documents. Does not receive sales notifications.

In an architect, engineering or contractor workspace with off-plan sales switched off, Sales is called Business development — same permissions.

Invite your team

Team in the sidebar lists everyone in your workspace with their role, status and last sign-in. Owners and admins manage it; everyone else sees it read-only.

  1. Open Team and fill in Invite someone: email, name (optional) and role — admin, sales or construction.
  2. Select Send invitation. They get an email with a link that works once and is valid for 7 days. If email is not set up for your workspace, the link is shown to you once to copy — only share it with the invited person directly, because anyone with the link can join as them.
  3. They open the link, choose their name and password, accept the terms and land on the dashboard.

Under Pending invitations you can Resend an invitation (a new link, valid for another 7 days) or Revoke it. One email address can belong to one workspace for now. A workspace can send up to 20 invitations an hour.

Change a role or switch access off

  • Role — pick a new role on the person's row. The owner's row cannot be changed.
  • Deactivate — switches their access off at once: they cannot sign in or see anything in the workspace, and they no longer appear in assignee lists or get notifications. Their name stays on everything they did. Reactivate switches it back on.

You cannot deactivate yourself or the owner, and a workspace always keeps at least one active owner or admin. Deleting a person's data is a privacy request.

Estate agents

Agents are outside your company but sell your units. They do not see the staff app.

  1. Go to Agents in the main menu (owners and admins invite; everyone on the team can see the list).
  2. Fill in Invite agent: full name, agency (optional), email and an initial password.
  3. Select Invite agent and share the password with them.

The agent signs in on the normal login page and lands in the agent portal. Each agent also gets a tracked link; enquiries that come through it are credited to them. To remove an agent, use Revoke on their row.

Buyers

Buyers get their login when you convert a lead into a buyer. You choose their login email and an initial password during the conversion. They sign in on the normal login page and land in the buyer portal, where they only ever see their own units.

Who can see your data

Only people in your workspace see its projects, leads and buyers — see Data and security. bildflow's operator can open a workspace only to help with a support request.
