Invite people who don't use bildflow
Invite a contractor, architect, engineer or consultant who isn't on bildflow to one project — a free guest login for its tasks, site diary and team documents.
Not every firm you work with uses bildflow. Invite them as a guest: they get a free login that opens only the projects you share with them. A firm that already uses bildflow is shared with by its connect code instead — see Share a project with another workspace.
Invite a guest
- Open the project. On the Overview tab, find the Partners card.
- Under Invite someone not on bildflow, enter their e-mail, name and firm (optional).
- Choose their role — architect, engineer, contractor or consultant — their Site diary access and whether to Share documents.
- Select Send invitation. They get an e-mail with a link that works for 7 days.
If e-mail isn't set up, the link is shown once on the card — copy it and send it yourself. Pending invitations are listed on the card with Resend and Revoke. Only owners and admins can invite.
What guests get
The guest opens the link, chooses a name and password, and lands on the project. They see it the way any partner does: Overview, Tasks, Site diary (if you share it) and Documents (if you share them). Never units, prices, buyers, leads or settings. Their menu has Shared projects, My tasks, Help and Settings, and the bell tells them about tasks assigned to them. You see the guest on the Partners card like any partner, and get a notification when they join.
Guests are free: they are never billed, and the files they upload count towards your storage.
One login for every developer
A guest who is invited by a second developer accepts with the same login — they sign in, and the new project appears next to the first under Shared projects. Each developer only ever sees their own project.
Leaving a project
You can end the connection on the Partners card at any time. The guest can too: in Settings › Workspace, Leave project. Either way they lose access at once; what they added stays with the project, and you have to invite them again to bring them back.
Your data
A guest can take their data with them or delete their login: in Settings, select Privacy: export or delete your data (also the Privacy tab next to Support).
- Export my data downloads a ZIP with the guest's name and e-mail, their guest workspace, the projects shared with them (who shared them, their role and the dates), and what they added to those projects — tasks and snags they created, their comments, checklist items, site diary entries, and the names and details of the files and documents they uploaded. The files themselves stay in your project, so a guest who wants copies downloads them from the project before deleting their login. Nothing of yours is included.
- Delete guest login — the guest types their firm's name (or their own, if they gave no firm) to confirm. They leave every shared project at once, so they can no longer open its files, and their login, name and e-mail are removed 30 days later. Until then a banner offers Cancel deletion, but the projects don't come back: you have to invite them again.
What a guest added to your project stays with the project — it is part of your records. You see them as a former partner; once their login is removed, their name goes with it.
Start a full workspace
A guest who wants to run their own projects can turn their login into a bildflow workspace: Settings › Workspace › Start your own bildflow workspace, then choose a company type. A normal 14-day trial starts, and the projects shared with them stay connected. This can't be undone.
