Viewing bookings

Let people book a viewing online, set your available hours, sync with Google Calendar and manage bookings.

Online viewing bookings are included on every plan, from Trial to Enterprise.

Set up availability

Go to Settings › Viewing bookings.

  1. Under Slot settings, set the Slot duration and the Buffer between slots (both in minutes), then select Save settings. Your weekly hours are in the workspace time zone (also on the days the clocks change), and the booking page, the viewing notices and the bookings list show times in it, with the zone named. An owner or admin changes the zone under Settings › Workspace › Time zone.
  2. Under Weekly availability, pick a day, a start and an end time, and select Add hours. Add as many ranges as you need — for example Monday 10:00–13:00 and Monday 15:00–18:00.

Slots are offered for the coming days inside those hours. A slot that is already booked is never offered again, and if two people try to book the same time at once, the second is asked to pick another slot.

Your booking page

Your public booking page is /book/<your-workspace>. Visitors:

  1. Choose a date.
  2. Choose a time.
  3. Enter their name, and optionally email and phone, and book.

To preselect a project, add ?project=<project-slug> to the address. Agents' "Book a viewing" buttons also pass the unit. To put the booking page on your own website, see Embeddable forms.

Google Calendar

On the same settings page, each team member can connect their own Google Calendar:

  1. Select Connect Google Calendar and approve access in Google.
  2. Choose the options:
  • Block my busy times — hides booking slots that overlap events in your calendar.
  • Add new bookings to my calendar — creates an event for each new viewing. No invitation is sent to the visitor.

If Google stops accepting the connection, the card shows Needs reconnect; select Reconnect. Disconnect removes the link.

Note: Google Calendar sync needs Google sign-in credentials configured on the server. Until then the card explains what is missing and bookings work without it.

Manage bookings

Open Bookings in the sidebar. Each booking shows the visitor, the time and the project, and starts as Requested. Use the buttons on the booking: Confirm it, Cancel it, and once a confirmed viewing has taken place, select Complete. Cancelling a booking frees the slot.

Each booking also creates a lead at the Viewing stage with a meeting logged, so the visitor is in your pipeline straight away.
