Payments
Record a buyer's payment schedule, mark instalments paid, and keep buyers informed.
bildflow tracks payments; it does not collect them. You record each instalment and mark it paid when the money arrives, and the buyer sees the same schedule in their portal.
Add a payment
- Open the buyer from Buyers and select the Payments tab.
- Under Add payment milestone, enter a Label such as "Deposit" or "Stage 1", the Amount (€) and, optionally, the Due date.
- Select Add payment.
The buyer is notified that a payment has been scheduled.
Mark a payment paid
Select Mark paid on the payment's row. The paid date is recorded, the row changes to Paid, and the buyer gets a "Payment received" notification.
Overdue payments
A payment whose due date has passed without being marked paid shows as Overdue. A daily check marks such payments overdue and sends the "Payment overdue" notification to the buyer and your team, once per payment — whether or not anyone has opened the dashboard that day. Overdue payments move to the top of the buyer's journey timeline.
The same daily check reminds buyers of design selections whose deadline falls within the next 7 days (at most one reminder every 3 days per selection). "Today" is your workspace's own day (the Time zone under Settings › Workspace), so a payment turns overdue after local midnight. Workspaces without off-plan sales are not checked.
Totals
The table ends with totals: the amount scheduled, paid and still outstanding. On a phone the totals stack under the table.
What buyers see
The Payments tab of the portal lists every instalment with its amount, due date and status. The tab only appears once the buyer has at least one payment. Notifications link straight to the payment in question.
Tip: Upload the signed payment plan or receipts as unit documents with Clients (buyers) visibility, so the buyer has the paperwork next to the schedule. See Media and documents.
