Email campaigns
Send launch announcements, price-list updates and news to the leads who asked for them, in their language, with one-click unsubscribe.
Write a launch announcement or a price-list update once, choose which leads get it, and bildflow sends it — only to people who agreed to marketing e-mails, each in their own language. Campaigns are part of the Pro and Enterprise plans and need the client pipeline switched on. Owners, admins and sales write drafts and send tests; only owners and admins send or schedule.
Consent
Only leads who said yes receive campaigns. There are two ways a lead says yes:
- On a form. The embeddable form and the microsite enquiry form show an unticked box: "Send me news about <your workspace>'s projects, like launches and price updates". Ticking it sends the person a confirmation e-mail; they are subscribed only once they select Yes, send me news and confirm (the link works for 7 days). Until then the lead page says Waiting for confirmation.
- Recorded by staff. On the lead page, the Marketing e-mails card has Record consent: pick how the person agreed (phone, in person, in writing or by e-mail) and confirm "The person agreed to receive marketing e-mails from us". Your name and the date are kept with it.
Recording consent also lifts an earlier unsubscribe: the person told your team they agree again. It can't lift a bounce or a spam report.
Stop e-mails on the same card unsubscribes a lead. Use the Subscribed filter on Leads to see who is subscribed. Changing a lead's e-mail address clears their consent.
Write a campaign
Open Campaigns under Leads and select New campaign. The editor has three steps on one page:
- Audience — filter by project, stage (all but Lost unless you tick some), language, source, assignee, budget, bedrooms, date created and UTM campaign. The count of who will get it updates a moment after you change a filter (or select Count recipients), with the names of the first 10. Leads whose address isn't a plain e-mail address are left out and counted ("N without a valid e-mail"). Two leads with the same address get one e-mail.
- Message — the kind, the project and a tab per language with a subject, a preview line and the message. Use bold, italic, links starting with https://, lists and headings. Each lead gets the version in their language if you wrote one, otherwise the default language. Choose Available units or a Price list to add the project's units; prices only show with Show prices on, and they are taken when sending starts.
- Review & send — see the e-mail as it will look in each language and Send a test to me (only to your own address, up to 10 an hour).
Draft with AI writes the subject, preview line and message in the default language from the project's facts (its available units and their prices), your brand voice and a one-line brief. Translate fills one empty language from the default. Each costs 1 AI credit (3 with GPT-6 Astra as the text model); the button shows the cost. Both need the AI marketing module on and credits left. Neither saves or sends anything — read the text, change it, then Save draft.
Merge fields
The chips above the message insert fields filled in for each lead: {first_name}, {name}, {project_name}, {project_link} (the project's public microsite or agent kit page, when it has one) and {workspace_name}. Any other word in curly braces is refused when you save.
Send or schedule
Owners and admins select Send or schedule…. The dialog shows how many people will get it and how many of this month's e-mails are left. Send now queues the campaign at once, and sending starts at the next run of the background jobs, within about 5 minutes. Schedule takes a date and time in the workspace time zone, at least 10 minutes and at most 90 days ahead; sending starts within a few minutes of it. Consent is checked again for every lead when the e-mails go out.
A scheduled campaign can be cancelled until it starts; a sending one can be cancelled too, and e-mails not sent yet are skipped. A campaign still sending 7 days after it started stops: e-mails not sent by then are marked failed ("sending took too long") and whoever sent it gets a notification. A sent campaign is read-only — Duplicate makes a new draft from it. After sending, the campaign shows its counters, the e-mail as it went out (with the units and prices from when sending started) and the recipients with their status; sales see names, not addresses. "Skipped (may have been sent)" means the e-mail service may have delivered it before the lead was skipped. Each lead's timeline gets a "Campaign: <subject>" entry.
Monthly allowance
Pro workspaces can send to 10,000 recipients a calendar month and Enterprise to 50,000, counted when a campaign is queued — e-mails later skipped or cancelled still count. The allowance meter on Campaigns shows what is left. A campaign that would go over this month's allowance can't be sent now: schedule it for next month, or narrow the audience. A schedule is checked against the allowance of the month it is scheduled in.
Unsubscribe, bounces and deliverability
Every campaign e-mail ends with "You get this because you asked <workspace> for news about their projects." and an Unsubscribe link, and carries a one-click unsubscribe header that mail apps show as their own button. The link opens a page with an Unsubscribe button, so a mail scanner opening links can't unsubscribe anyone; the mail app's one-click button unsubscribes at once. Unsubscribing applies to the address: every lead with it stops getting campaigns, and it is noted on their timelines. The address isn't e-mailed again unless the person subscribes again — on a form, with the confirmation e-mail, or by telling your team they agree again (Record consent).
E-mails come from "<your workspace> via bildflow"; replies go to your brand kit's sales e-mail, or the contact e-mail. If an address bounces for good, or the person marks the e-mail as spam, the address is blocked for all future campaigns and staff can't record consent for it again. The "N leads are subscribed" line on Campaigns counts only the people a campaign can reach: blocked and invalid addresses are left out, and each address counts once. To keep your e-mails out of spam folders, send only to people who asked, keep the subject honest, and send a test first. We don't track opens or clicks.
