Leads
Capture enquiries, move them through the pipeline, log calls and meetings, and convert a buyer.
Open Leads in the sidebar. The page has the add-lead form at the top and the pipeline below it.
Where leads come from
- Added by hand with the form on the Leads page.
- Your website, through the embeddable enquiry form, with the source and campaign tags recorded.
- The agent portal — the enquiry form on the shared link, or an agent's own registration. Leads from an agent show "via" and the agent's name.
- The booking widget — every viewing booking creates a lead at the Viewing stage.
New leads notify owners, admins and sales staff — or, when a routing rule assigns the lead, only the person it goes to.
Add a lead by hand
- Fill in the name, and the email, phone and budget if you have them.
- Pick the Source: Website, Facebook, Instagram, Google Ads, Referral, Broker or Other.
- Add any notes and select Add lead.
The pipeline
Leads are shown in seven columns: New, Qualified, Viewing, Negotiation, Reserved, Sold and Lost. Change a lead's stage with the stage menu on its card. On a phone, scroll the board sideways.
Select a lead's name to open its page.
The lead page
- Details — email, phone and notes.
- Assigned to and Qualification — who handles the lead, and its project, language, timeline, purpose, bedrooms and budget. See Lead routing, matching and alerts.
- Matching units — available units that fit the lead, cheapest first, and E-mail alerts — whether the person agreed to e-mails about fitting homes. See E-mail alerts to leads.
- Attribution — the source, the agent who brought the lead, the page and campaign tags (
utm_source,utm_campaign…) it came in with, and whether it arrived through an embedded form. - Activity — the history of contact with this person. Use Log activity to record a call, email, meeting or note.
- Privacy — export or erase this person's data. See Privacy tools.
Convert a lead into a buyer
When a lead buys, convert them. This creates their buyer portal login and links their units.
- Open the lead and find Convert to buyer.
- Enter their Login email and an Initial portal password (at least 8 characters).
- Tick the Units to assign. Only available units are offered; a buyer can own several.
- Select Convert to buyer.
The lead moves to Sold, the units are marked Sold, and the buyer appears under Buyers. Send the buyer their email and password yourself — bildflow does not email the password.
Tip: When the dashboard checklist is complete, its Copy portal link button copies the portal address to send along with the login details.
