AI assistants (Claude and ChatGPT)

You can connect Claude or ChatGPT to bildflow. Then you can ask questions such as "Which 2-bed units under €300k are still available in Limassol?" or "Add a task to call the notary on Friday". The assistant signs in as you, so it sees and does only what your role allows in bildflow. AI assistants are part of Pro and up. Any team member can connect: owners, admins, sales and construction staff. Guests, agents and buyers can't.

Connect Claude

1. In bildflow, go to Settings › API & integrations › AI assistants and copy the Connector URL (it ends in /api/mcp).
2. In Claude, open Settings › Connectors › Add custom connector and paste the URL.
3. Sign in to bildflow when asked, check the workspace and what the assistant can do, and choose Allow.

Claude Code uses the same URL: add it as a remote MCP server and sign in when it opens your browser.

Connect ChatGPT

1. Copy the Connector URL as above.
2. In ChatGPT, open Settings › Apps & Connectors › Advanced settings, turn on Developer mode, then choose Create.
3. Paste the URL, choose OAuth, then sign in to bildflow and choose Allow.

What assistants can read and do

• Read: projects, units (search them in plain words, the same way as ⌘K), availability, tasks and reservations. Owners, admins and sales staff can also read sales figures.
• Do: create tasks, add notes to leads and create leads. New leads have the source "Other", and your lead routing rules assign them as usual.

Assistants follow your workspace's modules. For example, if off-plan sales are switched off, they can't read units or sales either. Assistants never delete or change anything else. Claude and ChatGPT normally ask you to confirm before they run an action.

Leads and buyers

Assistants can't read leads and buyers unless you allow it. An owner or admin can turn on Let AI assistants read leads and buyers in the AI assistants card. Once it's on, only owners and admins can ask about leads and buyers, including names and contact details. Those details then go to the AI provider you connected. Assistants never see erased leads or buyers.

Audit and limits

Everything an assistant creates is recorded in Activity under your name, marked with the assistant that made it (for example "Dana via Claude created…"). A lead an assistant creates shows Created by an AI assistant on its page. New connections and disconnections are in Activity too. The AI assistants card shows when each connection was last used and how many calls it made this week. Records of calls are kept for 90 days and never include what you asked. Each connection can make up to 120 requests every 10 minutes.

Disconnect

Choose Disconnect next to a connection in the AI assistants card. It stops working at once. Owners and admins can disconnect anyone in the workspace, and everyone else can disconnect their own connections. If you see a connection you don't recognise, disconnect it.

A person's connections end when their role changes or their access is switched off. Turning their access back on doesn't bring them back: they connect again.

While the workspace is below Pro, or suspended, connections pause: assistants can't read or do anything. They work again after an upgrade or once the workspace is reactivated. If an assistant asks you to sign in again by then, connect it again.

You can't connect an assistant while a bildflow administrator is viewing your workspace as you. Connecting has to be your own choice.

If you connect the same app again, the new connection replaces the earlier one. For example, if you use Claude Code on a second computer, signing in there ends the connection on the first.
