Getting started
What bildflow does, how the app is laid out, and the order to set things up in.
bildflow runs a residential development from first enquiry to handover in one place: your projects and units, the sales pipeline, the buyers who purchase, and what those buyers and your estate agents see.
How bildflow is organised
Your company is a workspace. Inside it:
- A project is one building or development. A development with several towers is several projects.
- A unit is anything you sell inside a project — an apartment, a villa, a plot.
- A lead is an enquiry. When a lead buys, you convert it into a buyer, which creates their buyer portal login and links their unit.
Three kinds of people use bildflow:
- Your team works in the staff app (everything in the left sidebar).
- Buyers sign in to the buyer portal to follow their unit, documents, payments and messages.
- Estate agents use the agent portal — a shared link or their own login — to see live availability and download sales material.
Find your way around
- The sidebar holds Dashboard, Projects, My tasks, Leads, Campaigns, Buyers, Agents, Team, Reservations, Commissions, Messages, Bookings, Activity and Settings. Some items only show while their module is on, on a plan that includes them or to certain roles. At the bottom, Help and Support & privacy sit above Log out, and under Log out the app version links to What's new. Fields and Billing & plan are pages in Settings. Messages shows how many unread buyer messages are waiting. On a phone the sidebar opens from the menu button at the top left.
- Search sits at the top of every page. Press
⌘K(Mac) orCtrl+K(Windows) to find a project, unit, buyer or lead by name, number, email or phone, or describe the units you want, such as "2-bed under €300k in Limassol". See Search. - The bell shows your notifications — new leads, messages, bookings, payments. See Messages and notifications.
- The ? next to a page title opens the page of these docs that explains it.
Set things up in this order
The dashboard shows a checklist that follows the same order and ticks itself off as you go:
- Create your first project with its name and location.
- Add units to it, with price, floor, bedrooms and status.
- Set up your brand — logo, colours, fonts and tone. The portals and AI output use it.
- Define your unit fields such as pool, sea view or parking.
- Capture a lead, by hand or from your website form.
- Convert the lead into a buyer and share the portal with them.
Tip: Once all the steps are done, the checklist becomes a single card with Copy portal link, for sending buyers the portal address. Dismiss it when you no longer need it.
Where to go next
- Set up your workspace — company details, storage and your trial.
- Team and roles — who can do what.
- Getting help — open a ticket if something is not working.
