Site diary

Keep a daily record of each site — weather, workforce, deliveries, delays and photos — get it approved, export it as PDF and share a progress note with buyers.

The site diary is available on every plan. Owners, admins and construction staff write and submit entries. Owners and admins approve them. Sales staff can read the diary. Buyers and agents never see it.

Daily entries

Open a project and select the Site diary tab. The calendar shows each day's status. Select a day to open its entry. A project has one entry per day.

Each entry records:

  • Weather, filled in automatically when the project has a location and weather lookup is switched on. You can always type it yourself.
  • Workforce by trade or company, with headcount and hours.
  • Equipment and deliveries.
  • Work done. Tasks completed that day are listed below it.
  • Delays, each with a reason: weather, materials, labour, authority, design or other.
  • Visitors, any safety incident, and photos.

Copy from yesterday copies the workforce, equipment and weather note from the most recent earlier entry.

Use Create task from this delay on a delay to turn it into a task. The new task links back to the diary entry.

Submit and approve

An entry moves from Draft to Submitted to Approved. An approved day is locked and nobody can change it. If something needs correcting, an owner or admin selects Re-open to return it to draft. The re-open is recorded in the audit log.

PDF

Download one day, or a date range for the whole project, as a branded PDF.

Publish to buyers

On a submitted or approved day, owners, admins and construction staff can Publish to buyers:

  1. Choose the photos to share and write a short Note for buyers.
  2. Optionally add a caption to each photo. Captions from the diary are not shared unless you keep them.
  3. Publish. Buyers get a normal construction update in their portal, and are notified as usual.

Workforce, safety, delays, visitors and the internal notes are never shared, unless you write them into the note yourself. Photo location data is removed before buyers see the photos. Publishing the same day again updates the same construction update; it does not create a new one.
