Architects, engineers and contractors

Run your practice in bildflow — projects with stages, tasks, site diary and a client pipeline — without the off-plan selling tools.

bildflow is built for property developers, and it works just as well for architects, engineers and contractors who want project management and a client pipeline without selling units off-plan. The plans and prices are the same for everyone.

Choose your company type

When you sign up, pick what best describes your company: Property developer, Architect, Engineer or Contractor. The type sets the words bildflow uses and the default stages of a new project. Owners and admins can change it later in Settings › Workspace.

| | Developer | Architect / Engineer | Contractor | |---|---|---|---| | Pipeline | Leads | Clients & enquiries | Clients & tenders | | Late stages | Negotiation, Reserved, Sold | Proposal sent, Agreed, Won | Quote sent, Awarded, Won | | Value field | Budget | Estimated fee | Contract value | | Progress tab | Construction | Stages | Progress |

Modules

Four groups of features can be switched on or off in Settings › Workspace › Modules:

  • Off-plan selling — units, buyers, reservations, commissions, payments, design selections, buyer messages, unit handover and Aftercare, and the buyer and agent portals. Handing units over belongs to off-plan selling: with site work off, sales staff hand units over too.
  • Client pipeline — leads, bookings and lead forms.
  • AI marketing — the AI tab, social images and presentations.
  • Site work — the site diary, snags (including buyer issue reports) and task categories. Switch it off for a sales-only workspace: tasks still work as a to-do list, and buyers still see construction updates and milestones through Off-plan selling. Partners and guests on your projects lose diary and snag access while it is off. See Site work module.

Architects, engineers and contractors start with the client pipeline and site work on and the other two off. Site work is on for every new and existing workspace. Switching a module off hides it from the menu and the dashboard; nothing is deleted, and switching it back on brings everything back. Links you already sent to buyers or agents keep working.

From client to project

Move a client through your pipeline. Once a client is Agreed or Won, select Start a project: bildflow creates the project, links the client and adds your default stages. The project's overview shows a Client card, open and overdue tasks, progress, the current stage, diary days this month and the next task due.

Default stages:

  • Architect — Brief, Concept design, Planning permit, Detailed design, Tender, Construction supervision, Handover.
  • Engineer — Survey, Structural design, Permit, Construction drawings, Site supervision, Completion.
  • Contractor — Mobilisation, Earthworks, Structure, Envelope, MEP, Finishes, Handover.

You can rename, reorder and reweight stages on the project like any milestones.

Your team

Invite your colleagues from Team in the sidebar — see Team and roles. Then plan the work with Tasks and record each site day in the Site diary.

Working with a developer or another firm that also uses bildflow? They can share their project with your workspace — see Share a project with another workspace.
