Developers & sales teams

The spreadsheet says available. Your agent says it’s gone.

bildflow keeps every unit in view — live availability, a portal for every buyer and one for your agents, and from Growth up, holds, e-signed reservations and agent commissions. One place per project.

From problem to flow

Keep every unit in view.

Five problems sales teams know well, and what bildflow puts in their place.

A sales consultant shows a young couple a floor plan on a tablet in a show apartment with a view of the sea

The problem

“Availability lives in a spreadsheet that’s out of date by lunchtime, and every project has its own folders.”

With bildflow

Live availability, and one place per project.

Every unit shows as available, reserved or sold, with your own fields such as sea view, parking or energy class, next to the project’s documents, updates and buyers. Change a status once and the agent portal shows the same thing.

Example unit grid: every unit by floor, marked available, held, reserved or sold.

Sample data

The problem

“Two agents just promised the same unit — and the reservation is still paper and e-mail.”

With bildflow

From Growth

One live hold per unit, then an e-signed reservation.

Your team and your agents hold a unit for a set time; when the hold runs out, the unit is free again. Turn the hold into a reservation, send it for e-signature and take the deposit by bank transfer or by card into your own Stripe account.

Example reservation: a unit held for a buyer, then reserved and e-signed, with the deposit still to come.

Sample data

The problem

“Enquiries land in a shared inbox, and nobody knows whose turn it is.”

With bildflow

Every enquiry to the right person, with the units that fit.

Set rules by project, language or source, or rotate fairly through your team, and each new lead is assigned as it arrives — from your website form, a microsite, the agent portal or the booking widget. The lead lists the available units that fit its budget and bedrooms, and a lead who asks for it gets an e-mail when a matching home comes up or gets cheaper, at most once a day.

Example lead routing: new enquiries from a website form, a microsite, the agent portal and the booking widget, each assigned to a person by a rule on project, language or source, or by fair rotation.

Sample data

The problem

“Buyers chase you on WhatsApp for progress.”

With bildflow

Progress updates in their portal, in their language.

Post an update with photos, a PDF or a video for the whole project or one unit. Buyers are notified and read it in their portal, which works in English, Greek, Russian and Hebrew — translate the update into the other three in one click.

Example progress update sent to buyers in their own language, with photos from site.

The problem

“Every commission ends in an argument about what was agreed.”

With bildflow

From Growth

Commission rules, and a ledger each agent can check.

Set a rule per agent, project or company. When a reservation is paid, the commission is recorded as owed under the rule in force; you approve it and mark it paid, and each agent sees their own deals and downloads a PDF statement.

Example commission ledger: each agent’s commission per unit, from owed to approved to paid.

For your buyers

Clarity through handover.

Each buyer gets a portal for their own home — progress, payments, documents and choices in one place, and nothing that belongs to anyone else.

  • Construction progress with photos, for the project and their unit
  • Their payment schedule, with what is due next and what is overdue
  • Their documents, and one conversation with your team
  • Design choices with a deadline, approved in the portalFrom Growth
  • Buyers are free and unlimited on every plan

A week with bildflow

A sales week, in one flow.

The same project, from Monday to Friday. Holds, reservations and commissions come with Growth and up, and with the free trial.

Two agents show an older couple an apartment with a terrace
  1. Monday

Open the unit grid: what is sold, what is on hold, and which holds run out soon.

  2. Tuesday

An agent holds a unit from the agent portal. You turn the hold into a reservation and send it for e-signature.

  3. Wednesday

The buyer signs with a one-time code sent by e-mail, then pays the deposit by card or bank transfer.

  4. Thursday

Post the month’s progress with photos. Every buyer is notified and reads it in their portal.

  5. Friday

Approve the week’s commissions, mark the paid ones, and download each agent’s statement as a PDF.

Features

What your sales team works with.

Everything works from the same project data, so availability, prices and progress agree wherever they are shown.

Questions developers ask

Can agents hold units themselves?

Yes. Agents you invite sign in to the agent portal and can hold a unit — for 48 hours by default, which you can change. Only one hold can be live on a unit, and your team turns it into a reservation. Holds and reservations come with Growth and up, and with the free trial.

What does the buyer sign, and what do we keep?

The buyer opens a link, reads the agreement, confirms with a one-time code sent by e-mail and draws their signature. You both get a PDF with an audit trail page: every event with its time, IP address and browser. The agreement template is a starting point — have your lawyer review it before you use it.

Do we have to take deposits by card?

No. Bank transfer is always available: buyers see your bank details after signing, and you mark the deposit as received. Card payments are optional and go straight into your own Stripe account; bildflow takes no fee.

What does a buyer see — and what stays private?

Only their own home: the project, their unit, progress, documents marked for buyers, their payments and messages with your team. Never other buyers, internal documents or leads. Buyers are free and unlimited on every plan.

Can agents see each other’s commissions?

No. A signed-in agent sees only their own terms and their own deals. The shared agent link — the one forwarded to prospects — never shows commissions, terms or holds.

We sell several projects. Do we need several accounts?

No. One workspace holds all your projects, each with its own units, documents, updates and buyers. How many active projects you can run depends on your plan, and team seats are unlimited on every plan.

How are new enquiries shared out?

By your rules, checked from the top: by project, language or source, to one person or in turn among several. A lead that no rule matches is left unassigned or rotated among all sales staff, as you choose. A manual change always wins, and routing works on every plan.

Can buyers see availability on our own website?

Yes. The availability map — your building’s units and floors in their live status — shows in the agent portal on every plan. From Growth up, each project can also have a public microsite in four languages, with the map on it and framed into your own website. The enquiry form and booking widget go on your website on every plan.
