Architects & engineers

Which drawing is current? Three people, three answers.

bildflow keeps your team aligned: stages, tasks, the site diary and versioned documents in one project — shared with the developer you design for, with a client pipeline that feeds the next one.

From problem to flow

Keep your team aligned.

Choose Architect or Engineer when you sign up, and bildflow uses your words — clients and enquiries, estimated fees — and your own default stages.

The problem

“Coordination is scattered across e-mail threads, calls and shared drives.”

With bildflow

One project, with your stages and tasks.

New projects start with your default stages — brief to handover for architects, survey to completion for engineers — which you can rename and reorder. Tasks have an owner, a due date, a checklist and comments, on a list or a board.

Example task board: project tasks moving from to do, through in progress and review, to done.

The problem

“Nobody is sure which drawing is the current one.”

With bildflow

Versioned documents, seen by the right people.

Upload a file under the same name and it becomes the next version, newest first. When the developer shares its documents with your workspace, those marked for team and partners are read by both teams — never by buyers or agents.

Example connected workspace: a developer and an architecture firm sharing one project’s tasks, site diary and documents.

Sample data

The problem

“The client keeps asking where things stand.”

With bildflow

The answer is on one overview.

Each project’s overview shows the client, the current stage, progress, open and overdue tasks, this month’s site diary days and the next task due — so the answer to “where are we?” takes one look.

Example project overview for a design firm: the client, the current stage and progress, open and overdue tasks, site diary days this month and the next task due.

Sample data

The problem

“The snag list is a spreadsheet of photos nobody can place.”

With bildflow

Snags pinned on the plan, followed to checked.

Tap the floor plan where the defect is and add the trade, the person and photos. Each snag moves from Open to In progress, Fixed — to check and Checked, and only the team that owns the project marks it Checked. Partner firms and guests on a shared project see their snags like tasks, and the snag report PDF prints each plan with its numbered pins.

Example snag plan: numbered snags pinned on one floor’s plan, each with its trade and status — open, in progress, fixed and waiting for a check, or checked.

Sample data

The problem

“New work is still sitting in someone’s inbox.”

With bildflow

A client pipeline that turns a win into a project.

Track each client from the first enquiry to proposal sent, agreed and won, with the estimated fee. Start the project from the client, and bildflow creates it, links the client and adds your default stages.

Example client pipeline: enquiries and proposals, with a won client turned into a project.

A week with bildflow

A week at the practice, in one flow.

One project, from Monday to Friday.

  1. Monday

Plan the week on the task board: who does what, by when, and at which stage.

  2. Tuesday

Upload the revised drawings. The new version goes on top, and the partners you share documents with see the same file.

  3. Wednesday

Site visit: record it in the site diary from your phone, with photos, and turn a delay into a task.

  4. Thursday

A new enquiry comes in. Add it to the pipeline with the estimated fee and move it on to proposal sent.

  5. Friday

The client calls for an update. The overview has the stage, the open tasks and this month’s site days.

Features

What your practice works with.

Project management and a client pipeline — with the off-plan selling tools switched off until you want them.

  • Built for your practice

Architect or engineer wording, default stages and a dashboard for your firm. Selling tools stay off until you need them.

  • Tasks

A list and a board per project, with checklists, @mentions and files, and My tasks across every project. Link a task to a project, a client or nothing at all.

  • Site diary

Weather, workforce, delays and photos for each day, approved and locked, exported as PDF.

  • Versioned documents

Every upload under the same name becomes the next version, with a visibility you set for each file.

  • Connected workspaces

Share a project with a developer or contractor on bildflow by connect code. Each firm keeps its own team.

  • Client pipeline

Clients and enquiries with estimated fees, from first contact to won — and on to a project.

New work from your website, and the tools you already use.

The client pipeline takes enquiries from your own website, and on the plans tagged below, AI assistants can read your tasks and add new ones.

Questions architects and engineers ask

Do we need the property sales tools?

No. Choose Architect or Engineer at sign-up: the client pipeline is on, while off-plan selling and AI marketing start switched off. Owners and admins can switch a module on later, and switching one off deletes nothing.

Is the price different for firms?

No. Plans and prices are the same for everyone, from €49 a month per workspace, and team seats are unlimited on every plan.

The developer we work with uses bildflow. How do we connect?

Send them your workspace’s connect code. They share the project with your workspace, your owners or admins accept, and it appears among your projects as shared with you: its tasks, and the site diary and team documents if they share them. Never their units, prices or buyers.

Our consultants aren’t on bildflow. Can they join a project?

Yes. Invite them as guests by e-mail: a free login to that project’s tasks, and to the site diary and documents if you share them. Guests are never billed.

Can we change the default stages?

Yes. Rename, reorder and reweight the stages of any project, as you would any milestone.

Does it work on site?

bildflow works in your phone’s browser: add a task or a diary entry with photos on site, and finish the details at your desk. There is no offline mode yet.

Can we track snags with the contractor?

Yes. Snags are tasks pinned on a floor plan, so a partner firm or guest on a shared project sees them as it sees tasks: the unit’s name and plan, never prices or buyers. They mark a snag Fixed — to check, and the team that owns the project marks it Checked once it has seen it on site.

Every project, one flow.

Set up your first project with your own stages, and bring the developer into the same flow.
